Summary

The Reception and Data Entry Specialist answers calls and
inquiries from college visitors, employees, current and prospective students,
and directs them to the appropriate offices or persons utilizing organizational
familiarity and appropriate discretion. The Reception and Data Entry Specialist
may be required to make appointments and/or maintain an appointment calendar.
The Receptionist performs varied clerical tasks which may include keyboarding
and/or computer data entry, maintaining files, and operating standard office
machines and equipment. The Reception and Data Entry Specialist could be
required to participate in recruiting and admission events.
This position reports to the Director of Enrollment
Management and is a part-time member of the admissions and recruitment staff. This
position must be committed to maintaining and furthering the College’s
commitment to ethics, integrity, respect, and inclusion and to promoting
student success.  This position will be
required to work in multiple sites throughout the service area, possess a
driver’s license, and be able to adapt to a constantly changing environment
with multi-faceted duties, maintain professionalism, confidentiality, and a
student-centered focus and attitude while carrying out all job
responsibilities. This position will work 20-25 hours per week and may require
evening and weekend hours.

ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Performs receptionist duties by greeting prospective and
current students, employees, and the general public answering questions,
providing appropriate and accurate information or materials to routine
inquiries (within the capability to do so and within prescribed policies)
and/or directing them to the appropriate offices or persons.
2. Answering the telephone, taking messages or routing calls
according to office procedures utilizing organizational familiarity and
necessary discretion, and making appointments as appropriate. Distributes
incoming messages and correspondence to appropriate office personnel.
3. Prepares outgoing correspondence for email or post by
verifying the accuracy and completeness of the correspondence and addresses.
4. Completes standard admission applications by entering
data into Workday Student Information System.
5. Exercises discretion in the performance of assigned
duties by being knowledgeable of college and/or departmental policies regarding
confidential materials and information and complying with such policies when
handling confidential items or providing information to college employees,
students, or the public.
6. Represents and promotes enrollment at the college at
admission and outreach events, answering questions and providing accurate
information in a welcoming and enthusiastic manner.
7. Contributes to a work environment that encourages
knowledge of, respect for, and development of skills to engage with those of
other cultures or backgrounds.
